This page describes new features and fixes that have been added to the DanceONE program in the last few upgrades. We try to release an upgrade to DanceONE each year. When you purchase the program you naturally receive the latest version.

Version 12

Student Pictures - you can now link any number of pictures or other images to student records. You can specify a date and description for each picture in the image database.

Student Charges - fields for costume and other charges have been added to the student window. Previously only tuition charges could be billed from the student window. Also, the student’s name is now used as the second transaction description for charges posted from the student window.

Student Reports - an option to include student window charges has been added to the student report window. Also on the student reports window you can now specify an age range for students to be included in the report.

Email - the email component of DanceONE has been thoroughly reworked. Most of the changes are behind the scenes but should result in more reliable emailing from DanceONE. An error that resulted from specifying selection options on the group email window has been fixed.

Transaction Window - a button has been added to the transaction window that will take you to the family window for the family currently displayed on the transaction window. This will be useful if you need to quickly access some family information while you are entering transactions.

An option has also been added to the transaction window allowing you to retrieve a single family’s transactions from the transaction history file.

An option is now available to disable the default date button on the transaction window. This button toggles the default transaction date between today’s date and the date of the last transaction entered. The new option allows you to select the option you prefer and then disable the button so the default can not be changed.

Group Transactions - the group transaction window will stay open after you post a group of transactions. This allows you to post transactions to several classes in a row without re-entering the basic transaction information.

Backup and Restore - the backup and restore functions can now be accessed directly from within DanceONE. Previously they were accessed through the start menu.

The student’s original enrollment date will now be retained when the student information is transferred to the contact and applicant file.

Report Writer - reports based on student or family records can now select students or families based on their active/inactive status. Also errors in the report writer that occurred in the multi-
user (networking) version of DanceONE have been repaired.

Exporting Data - Using the report writer, you can export data from DanceONE as a comma-delimited text file. This data is easily imported into spreadsheet, word processing or database programs.

Class Window - the student information listed on the enrolled students tab now includes the class enrollment date.

Student Attendance Report now includes an option for printing attendance stats for each class. This might be used for determining best attendance awards, etc.

Student List - an option allows you to print only students currently enrolled in more than one class.

Contact and Applicant Labels - problems positioning student and family contact/applicant labels have been fixed.

Version 11

Quick Transaction Entry Window - The quick payment window has been enhanced to allow more efficient entry of any type of transaction; charges, payments, etc.

Late Charge Calculations - A description field has been added so you can enter your own description for the late charge transactions. If you do not enter a description, the default late charge description will be used.

Billing Statements - the new statement format allows you to select a logo image that will be automatically printed on your billing statements.

Window Navigation - You can now more easily move between student, class, costume and size chart windows. For instance, on the student window clicking on a class will bring up that class window. On the class window, clicking on a costume will bring up that costume window and on the costume window, clicking on the size chart field will bring up that size chart window. This makes it much easier to check information about a student’s costumes. A button has also been added to the transaction window to take you to the family window.

Receipt Message - You can enter a custom message that will be printed on payment receipts.

E-mail - The e-mail engine in DanceONE has been redone to work more reliably, especially with e-mail servers that require authentication, i.e. user id and password. An error that occurred when selecting a location on the group email window has also been fixed.

Problems when the student window was automatically displayed after a new family was entered have been fixed.

Inseam has been added to the costume sizing report.

Labels - an option has been added to include costumes and sizes on the student labels. The bottom margin for label printing has been fixed.

The class list report has been fixed so that costume information will be included when the costume check box is checked.

Costume Report - class days and times has been added to the costume report.

Version 10

Quick Payment Entry Window: A quick payment window has been added that allows more efficient entering of payments from a list. This window can be useful if you receive a list of payments from an automated payment processing service and need to quickly post the payments. You can use either family names or account numbers when selecting families to post.

Quick Charges: A new billing option called "Quick Charges" has been added. To use this option you setup one or more quick charge tables containing a description of items you commonly charge for along with the price. On the quick charge billing window, you select a family, the quick charge table item number and the quantity. Quick charges are an efficient method of posting one-time charges for common items. For example, shoes, leotards, etc.

Transaction Spreadsheet Window: File and record locking on this window has been made more efficient to speed things up and reduce network congestion in a multi-user environment. "Top" and "Bottom" buttons have been added to the toolbar allowing you to move quickly to the top or bottom of the transaction list. The transaction spreadsheet will now be maximized when the window is maximized allowing you to see all the transaction information if your screen resolution is adequate. The distinction between calculated and manual charges is now preserved even after modifying the charges on the transaction spreadsheet. And finally, glitches with adding and deleting transactions have been fixed.

Autosave: Selecting the "Autosave" option will automatically save your changes when you leave a record (by moving to another record or closing the window) on data entry windows. You have the option of being asked to confirm the save or having the changed information saved with no confirmation.

Student and Family Windows: After you enter and save a new family record, DanceONE can automatically display the student window with the family pre-entered. Also an "Add New Student" button has been added to the family window. Selecting this button displays the new student window with the family name entered. You can also specify city, state and zip code defaults that are automatically displayed on new family, instructor and family contact records.

Transaction List: A date search option has been added to the transaction selection list. When you select the "List Transactions" button on the transaction window a chronological list of the family’s charges and payments is displayed. You can now enter a date to automatically position the list to the first transaction on that date.

Telephone Numbers: A cell phone number field for instructors and a second cell number field for families have been added.

Billing Calculations: A selection field for families has been added to the "Calculate and Post Charges Window". This allows calculating charges for a single family.

Late Charge Calculations: An option has been added to always post the late charge to the "Other" category even if the late amount is in the tuition or costume category.

Family and Student Discount Plans can now be used with the regular and hourly charge tables. This allows for automatic calculation of multiple child/class discounts when using charge table billing.

Class Window: The selection list on the class window now shows instructor and location.

Billing Statements: A new, more pleasing billing statement format is available. The statement has horizontal and vertical lines separating columns and headings and totals. A new general billing option to include student names on the statements has been added. The student names are printed near the top of the statement, to the right of the parents names and address.

Transaction List: Selection fields have been added to the transaction list report window for reference or description "contains". When information is entered in these fields, the report will only include transactions containing the entered information. This can be useful for finding a payment if you know the check number or name.

Student Reports: A date range for enrollment dates has been added. This allows you to include in your report only students that enrolled in a specified period. Also, checking the box to include billing information on the reports now includes both student and family billing information.

Family Reports: Fixed the "Print Families With" checkboxes to work more logically. Families will be excluded from the report if the applicable checkbox is not checked. For example, unchecking the "Zero Balance" checkbox will exclude all families with zero balances despite what other checkboxes are checked.

Student and Family Reports now include an option to select beginning and ending names for students or families. This is useful if you want to print a report that includes part of the alphabet: the C’s through the L’s for example.

Student and Family Labels can be printed from one to six across the page and any number down the page. You can also select items from the "Include" list to be included on your labels. This could be used for printing rolodex cards or other large labels with additional information on them.

Registration/Pre-Registration Letters: You can now enter your own messages for the registration and pre-registration letters.

Backup and Restore: The DanceONE backup and restore programs were rewritten to make them work more reliably with Windows XP. They will work more reliably when backing up and restoring to and from locations other than your diskette drive. The new backup and restore programs are also downloadable from our web site.

Processes: An option has been added to check or uncheck the "Class Taught This Session" checkbox for all classes. Also an option to blank all student sizes.

You can optionally have your business name displayed on the program title bar instead of "DanceONE".

The following problems have been fixed in Version 10:

Under certain circumstances, DanceONE would lockup when the right or left arrow keys were pressed while a selection list was displayed.

If the student window was already open when a new family was entered, the student window was not blanked out and prepared for a new student entry.

Error when selecting "Delete All for This Family" on the transaction window.

The account summary fields on the transaction spreadsheet window were not being updated after each change.

The balance on the last transaction on the transaction spreadsheet window was not correct.

When the selection list was displayed on the transaction window, the program would lockup if the up arrow key was hit.

DanceONE would sometimes lockup when changing values in time fields such as on the Hourly Charge Table window.

The amounts on the discount plan windows would not display when using Windows XP.

The charge descriptions were not correct when charging students on the Group Transactions window.

The correct family was not selected when the "Print Statement" button was selected on the Transaction window.

DanceONE was not connecting to email servers that require a password for connection.

Version 9

Costumes: You may now attach any number of costumes/accessories to each class. Costumes can be added to classes directly from the costume window. All costumes/accessories can be sized and charged in a single run of the costume sizing and ordering report. Sizes entered on the student window will now correctly override the size chart calculations. Unsized accessories and props can be automatically charged for and included on the order forms.

Transaction Spreadsheet: A spreadsheet style data entry window has been added for transactions (charges/payments). This new data entry window resembles a computer spreadsheet with rows of records and columns for data fields. Using this window it is much easier to view all of your data, then just point and click at the information that needs to be changed, make your changes and you’re done. Existing transactions can be quickly located, modified, or deleted and new transactions added.

The process of deleting families has been simplified. When you choose to delete a family, DanceONE will present and explain the available options depending on the family's situation. If there are charges and payments in the account, you have the option to cancel the deletion, to delete the transactions and then the family, or to move the transactions into the history file and then delete the family. Similarly, if there are students in the family, you have the option to delete the family and the students, to move the family and students to the contact/applicant file and then delete, or delete the family record but not the students. In previous versions of DanceONE you had to do each step separately, usually on a different window.

Moving families and student to contacts/applicants: In the same way as deleting families, the process of moving families and students to the contact/applicant files has been redesigned to allow the whole process to be accomplished in a single-step with all your options clearly presented and explained.

A couple of general options have been added that affect the initial display of data entry windows. The first option specifies whether data entry windows initially display the first record (as is currently the case) or a blank screen for a new record. The second option allows you to specify that the selection list will be automatically displayed when the window is opened if there are records in the file. For example, when you initially open the student window, the selection list of student names is displayed automatically.

DanceONE will now warn you if you attempt to delete a family with a balance even if there are no charges and payments in their account. Typically this would be an unpaid beginning balance.

A cell phone field has been added to the family window.

Reports:
· Instructor list with all information.
· A one page per student report showing student information, family information and class information for each student on a single page.
· The options on the student and family report windows have been changed to allow printing of just the inactive students or families.
Recital Program: An option to print dancers in either columns or rows has been added. By default, dancers have been listed in columns in previous versions of DanceONE. Selecting "Rows" will list dancers alphabetically in as many centered rows as necessary.
· Billing Statements: An option has been added to left-justify the business name and address when printing billing statements. This lets the address show through on a standard two-window envelope.
· Report headings and footers have been changed to be more appealing and informative.
· An option to specify the beginning and ending pages to print has been added to the report view window.
· Orientation (portrait or landscape) has been added as one of the default printer settings in "Printing Options" on the general information window.
· Recital information can now be included on family reports and lists. This is useful if you want to print a page for each family showing recital information (numbers, times, costumes, etc.) for all dancers in the family.
· A check-box to include transactions (charges and payments) has been added to the student and class reports window.

Selection Lists: Previous changes in the pop-up selection list format proved unpopular. The selection lists have been modified to their original appearance.

The transaction window now displays an indicator if the family or any student in the family is currently inactive.

Processes: New processes have been added for deleting all classes, deleting all unenrolled students, deleting all unenrolled students and their families, making all students or families active or inactive, and removing costumes for all classes.

Fixes: The following problems have been fixed:

RDM/ROM error messages 16 and 19 that would show up when working with or printing class information. Typically when the errors occur, DanceONE would lockup and the database repairs option would have to be run.

The "Calculate and Post Charges" function has been fixed to only count classes with the same student or family discount plans when calculating the discounts.

Printing from the Report View Window: With some printers, printing directly from the report view window results in extraneous characters (typically little boxes) appearing on the report. Also, a problem that results in a "Can't open view file" error message being displayed.

On WindowsXP systems, selecting the last page button on the report view window would not display the last page of the report.

A "not legal member of set" error message that would be displayed when printing the student telephone directory.

An extra blank page that was printing on student reports when the report was sorted by family name.

An error that would cause DanceONE to lock-up when windows with time fields were closed. For example, this error would occur if the cursor were in one of the starting or ending time fields on the class window and the window was closed.

An error that would cause DanceONE to lock-up when class or student categories were selected on the calculate and post charges window.

A number of smaller changes and improvements have been made to report layouts and data entry windows. Also, a variety of minor problems not mentioned above, have been fixed.

Version 8

User Defined Fields (database customization) This new feature allows you to add new data fields to your DanceONE database. For example, you may want to have a place to enter a student's nickname on the student window, or parents' birthdays on the family window, or an emergency contact name and number for instructors. You can add as many new fields as you need, and organize the new fields on as many new window tabs as are required. The types of data fields you can add are; dates, text, numbers, dollars and cents and check boxes. When you add a new data field, the field will automatically be available to include in any reports you print.

Password Security - You can create any number of users with their own passwords. Each user's access can be customized to allow full access, view-only access or no access on each of the Data Entry, Attendance and Check In/Out menus. You can specify the Reports, Billing and Processes menus as either full access or no access. For example, you may have one user who needs to look up information but should not be able to make changes to the data or print or view reports. You could allow view-only access to the data entry menu and no access to the other menus.

Email capabilities have been integrated directly into the DanceONE program. You can send an email to any individual student, family or instructor. You can send mass email to all or selected students, families or instructors. As an example, you may want to send a practice reminder to the members of a competition team, or email the parents of students in a particular class with information about a schedule change, or email birthday congratulations to all the students with a birthday this week, or email a payment reminder to everyone with an outstanding balance due, or send an email reminder to everyone about the upcoming recital schedule. You can also email billing statements to parents who have email addresses and save on mailing costs.

Processes - New processes have been added that allow you to zero all student or family charge amounts and make all students or families active or inactive at once.

Reports - Almost all the reports have been modified to allow selecting any of the include check boxes. In earlier versions the include check boxes were only selectable for the lists (student list, family list, etc.). For most other reports these check boxes were grayed out and not selectable. In the new version of DanceONE you can choose to include any item on almost any report. This includes any user-defined fields you create.

Transaction History File - A new process has been added to retrieve payments and charges from the transaction history file. This option will get the transactions from the history file, for the date range you specify, and put them back into the families' active accounts. Also, a new button has been added to the transaction window that permits you to send just the transactions for a selected family to the history file. This option is useful if you need to delete the family record but want to retain the account information in the transaction history file.

Report Writer - The sorting and selecting options for the report writer have been fixed and improved. In earlier versions, sorting or selecting records for your report based on date or amount fields did not work reliably. These problems have been fixed.

Scroll Bars on Selection Lists - Scroll bars have been added to all the pop-up selection lists so you can use your mouse as well as the keyboard to navigate through the lists.

Help Index - A help index has been added that lets you find help on any topic and not just help related to the current window.

Transaction List - An option has been added to print only transactions that are not in a transaction category. This option is helpful if you want to have all your transactions in categories and need to make sure that has been done.

Expense Reports - The amount fields on the expense reports have been widened to accommodate larger numbers.

Pack Utility - The conversion program can now be utilized to pack your DanceONE database. Over time the database can grow larger than is necessary to hold your data. Running the conversion program will "pack" the database to the most efficient size.

Student Reports - Printing the student's gender, age and birthdate has been made optional on student and class reports. You can check the include box to include the information or uncheck the box to omit it.

Student Names - An option to reverse or not reverse student names has been added to the student and class reports.

Transaction List - Options to select by class and/or instructor have been added to the transaction list window.

Problems Fixed: The following problems have been fixed in Version 8.

Label Fonts - On certain printers the font on the second and subsequent pages on labels would revert back to the default font and font size. On these printers the first page of labels would print fine but the rest of the pages would typically print in a larger font that would not fit on the label.

Transaction Window:
1. The student selection list on the transaction window was not responding to keys typed on the keyboard.
2. The selection of the "Same Date" or "Today's Date" option was not being retained for the next time the transaction window was opened.
3. The family's telephone number is now displayed on the transaction window after the family is selected.
4. The "Delete All for Family" button has been moved so that it is not as accessible. Previously, it's location next to the "Delete" button could cause problems.

Report Writer Window - A "group lock" error message was being displayed when the report writer record was saved.

Printing - On some printers, printing from the view screen results in boxes or other odd characters on the report. This has been fixed for all printers we have been able to test.

Registration Letters - Fixed so that all students in a family will print on the same letter.

Billing Calculations - Some minor problems with the charges generated by the Calculate and Post Charges option have been fixed.

A number of other minor problems have been fixed between version 7 and 8.

Version 7.3 Interim Upgrade

Added:
· Button on the transaction window to transfer the family’s transactions to the history file.
· Option on the processes menu to retrieve records from the historical transaction file.
· Print statement button to the transaction window.
· Telephone number option to the attendance rolls.

Fixed:
· Late charge records had some garbled data.
· For transactions attached to a student, the student name was not being displayed on the transaction window.
· Some pop-up selection lists were not positioning correctly with letters typed on the keyboard.
· Student contact list was not printing.
· The first record was not being printed when a report was viewed or printed a second time.
· Made some changes in the printing of payment receipts.
· Problem with the heading on the student category report.
· Problems with the recital window.
· Selecting a location on the billing calculations window did not work.
· The total payment field on the transaction window was not being zeroed when a new family was selected.
· Day and time sort fields were not working on class reports.
· Family button on the student window was not selecting the correct family.
· Report writer selection fields were not working for dates and amounts.
· Selecting a student name on the family window was not working after the first time.
· Current balances were not showing correctly on the family window.
· Entering the second student in a family sometimes resulted in the first students information being displayed.
